Conquer the Fear of Saying No

If you ask a person on the street which word is likelier to contribute to personal and professional success—yes or no—that individual will probably choose the former. But as many leaders in the world of business and politics will tell you, learning to say no can be every bit as important as knowing how to say yes. The reasons for this are largely intuitive: by turning down some engagements, you free up time, energy, and mental focus for the endeavours you find most inspiring.

However, many of us feel distinctly uncomfortable with saying no, often because we worry that doing so may cause offence or otherwise lead to negative social consequences. Insofar as it compels us to take on more commitments than we can handle at any one time, this anxiety can hamper our pursuit of the professional and life goals that are most important to us.

Establish and respect your own boundaries.

Your work is surely a high priority for you—but so are your health, quality time with friends and family, leisure time, and other hobbies or avocations. Think of your lifestyle as analogous to a meal: nearly everyone would prefer a flavourful medley of high-quality, healthy ingredients to a monochromatic, humdrum dish of little nutritional value. Likewise, if you devote all of your time to a single work-related project, you probably won’t enjoy a wholesome existence.

Once you set parameters like the number of hours you’re willing to devote to a new project, and commitment versus expected benefit, you’ll find it easier to distinguish the undertakings that really interest you from the also-rans.

Be honest with yourself.

Before you dive headfirst into any significant assignment, ask yourself the following questions:

1)  Am I genuinely passionate about this project?

2)  Five years from now, will I look back on my efforts with pride?

3)  Is it consistent with my values?

4)  Why is it important to me to take this on?

5)  Will I be able to dedicate sufficient time to this?

6)  Do I have the necessary technical expertise, and/or can I partner with someone who does?

Unless you can answer all or most of those questions, you’re better off saving your talents for something that’s more up your alley. Otherwise, you’ll likely either feel stretched too thin, or a sense of regret about the opportunity cost.

Know your strengths.

We all have strengths and weaknesses. The first step on the path to success in any field is to identify your own. Once you know where your own aptitudes and deficiencies lie, you can work to refine the former and improve the latter. You’ll also know which of your personal attributes you can rely on in high-pressure situations.

The willingness to venture outside one’s comfort zone is often an admirable quality. But if a project either isn’t your cup of tea from a technical standpoint, or you sense that your time would be better spent elsewhere, you should consider either turning it down or delegating it.

Strategies for politely declining:

“I’d like to know more. Can you send me more information?” This serves two purposes. First, it provides a test of the other individual’s commitment; if you never hear from h/er, you will know. Second, it gives you the opportunity to learn more about the endeavour itself before deciding whether to take it on.

“Let me check my calendar and get back to you.” This is not an explicit demurral, but it does enable you to buy time. It is possible that the person who pitched the idea to you will forget after a while. Alternatively, on further reflection you may decide that the project is right up your alley.

“This seems like an excellent, worthwhile idea, but unfortunately...” Shortage of time is an excuse that most people will accept, particularly if they’re not close friends of yours who happen to be conversant with your schedule.

How To Stay Motivated Between Projects

We’ve all experienced the bittersweet feeling that attends the conclusion of a major project.

On one hand, you’re elated and relieved to finally have a proverbial monkey off your back, and proud of your achievement. On the other hand, you may ask yourself “Now, what?”—or, “How should I get started with this next thing?” Your first strides in a long race seem like a distant memory at the instant you cross the finish line, and sometimes, the thought of taking on another complex, multi-faceted assignment can be overwhelming. You may find it difficult to focus or apply yourself, and that your progress is slow and laborious.

What can you do to stay motivated, avoid burnout, and muster your creative and productive energies for the next big undertaking?

Prioritize yourself.

When you become particularly engrossed in a project, you may find it difficult to tear yourself away from it. But from day to day, constant work can take a toll on your nutrition and physical fitness—since you may be short on time for food preparation and exercise. But the paradox of overwork is, by devoting all your attention to your professional duties and neglecting self-care, you may eventually lose stamina, experience burnout more quickly, and become more susceptible to illness.

Pencil regular breaks and downtime into your busy schedule, and adhere to it. Allow yourself time for exercise and a healthy diet. Imagine that you are sacrificing a little bit of productivity now in order to gain significant productivity later.

In between big assignments, you may want to allow yourself a more substantial unwinding period, and get away from your workspace for a while. Within reason, of course.

Give yourself things to look forward to, unrelated to your work.

Activities away from work—like hiking, soccer, mini golf, or skiing, barbecues at the beach, dinner outings, trips to the movies, and hanging out with friends—are both pleasurable in themselves, and means of escape from the daily grind. Even if you love your job, hobbies and extracurricular pursuits can offer relief from the various pressures and challenges you face every business day, and a reward of sorts for your efforts. And while you’re involved in something completely unconnected to your work, an ingenious idea may occur to you...

At the end of the work day...stop working.

As a society, we are inundated with electronic gadgets that compete for our attention. Our expectations of each other seem to have changed too—whereas decades ago, people were assumed to be “unreachable” at particular times (like while driving, or out and about), today it is common to assume that no one is ever out of contact—and therefore, why should a work-related call, e-mail, or text message have to wait until the morning or the end of the weekend? One consequence has been a tendency for work time to bleed into leisure time.

It’s important to establish ground rules, to the extent you can. Make clear to your colleagues and associates that when you clock out for the day, you’re done. Unless it’s a genuine emergency, it can wait.

Why is this important to you?

One cause of flagging motivation at work is the perception that one’s job, or a specific aspect thereof, is not really meaningful. When confronted with the daily tedium of “going through the motions”, many professionals feel disinclined to exert their best efforts. Instead, they may wile away the hours by indulging in distractions and diversions at work—like games, online shows, or Facebook.

Of the many advantages of entrepreneurship, arguably the foremost is the knowledge that you are your own boss—and thus, you reap the benefits of your own hard work. Nonetheless, it’s a good idea to set goals for yourself that are both ambitious and realistic, while remaining mindful of the importance of the task at hand. If you can’t remember why it’s important, then your best bet is probably to leave it aside and move on.

Strategies For Juggling Multiple Projects

If you run your own business, chances are you have a seemingly endless to-do list that can overwhelm the senses and would lead a more fragile mind into despair. Sometimes the first thing on everyone’s to-do list is to figure out which item on the to-do list to actually do first. Like a car with standard transmission often the hardest thing is just getting the car rolling. Here are a few handy tips and tricks on how to manage all the items on that list so you can get out of first gear and get into the fast lane.

Organize Your Projects

No two projects are created equal and it’s up to you to figure out which ones are high priority versus which ones can wait. You also need to figure out which projects are long-term projects and which ones have imminent deadlines, or ongoing deadlines. Some individual tasks within a particular project are themselves more complicated than others and those need to be sorted out as well. In my case, I have a set of regular tasks that need to be taken care of weekly and then a variety of projects that are, on average, a month’s worth of work and all with deadlines falling at various points throughout the year.

When all the chips are down I have a way to break down all my tasks for the year by month and by week, which then allows me to plan out each day.

Organize Your Week

As a rule, I make sure that any projects with ongoing deadlines I devote a portion of any given day to complete. I also make sure to devote at least 25% of time during any given week to any of my monthly projects (this percentage may increase as any deadline looms). The reason why I make sure to devote this substantial amount of time even early in the process is because I never want to get to a point where I need to devote 100% of my time to a particular project at the expense of the work that is ongoing. Normally it is advisable to put the ongoing work at the front part of the week.

Organize Your Day

Luckily the day comes conveniently broken up into two parts: before lunch and after lunch. Lunch isn’t just a time to gas up and take a much needed break, it’s a great way to set goals. Often, I give myself a set of tasks that I can reasonably complete before lunch. I find that my productivity is highest before lunch so this is when I take care of higher priority projects. I repeat: DO YOUR HIGH PRIORITY WORK BEFORE LUNCH - save the cat videos for after lunch. The afternoon is also a good time to tackle lower priority projects, assess your progress, and plan the next day’s work schedule.

Always Spend At Least a Minute With All Your Projects

Even if it’s as simple as delegating a few minutes of thought, or simply asking a colleague “how far along are we with that?” it’s worth touching base with all your projects at least once a week. Never let a week go by without checking in. The weekend is a time of forgetting and if you don’t make it a habit to check in, that kind of procrastination can lead to a massive crunch or worse - a missed deadline.

Never Devote an Entire Day to One Single Thing

There’s nothing more demoralizing than the prospect of devoting your entire day to one single task performed over and over again. Although sometimes it may be necessary, it’s advisable to restrict assembly line tasks to a portion of the day in order to give the mind a break from that inherent monotony as staying vocationally fresh is a great way to optimize productivity. Conversely, miring oneself in drudgery is tantamount to flicking the “off switch”.

Develop Your Time Management Skills

Time management is a skill just like needlework, cooking, or playing the guitar, and all the same rules apply. Just like any skill it has to be developed to serve you any real purpose and you have to practice to get better at it. There are numerous tools at your disposal to help with all of the advice mentioned above like spreadsheets and calendars where you can jot down, make notes, color code, and organize everything that’s on your plate. Along with helping cut through all the clutter, giving myself a visual sense of what’s ahead really gives me a sense of where to start and how my time can be best used. Naturally, it takes a portion of time to carry out this strategy of organization, but the benefits over the long term are well worth it.

Work-Life Balance: Remember, it’s Saturday!

It was a glorious Saturday afternoon in early summer and I was hunched over a picnic table garnishing a hamburger when my cell phone rang. I had been in the middle of a good laugh after someone had told a delightful little anecdote but noticed it was one of my employees and, since they were calling me on the weekend, thought it must be something important.

I politely excused myself and gave my employee my undivided attention. I had handed him a rather large project from an important client and several weeks earlier had asked him how long it would take to complete the project. They were apologetic that this was the day that they had said they would be able to finish it, were almost at the finish line, but that friends had come in from out of town.

Before he could even finish his story I asked why he was working on the project when it was so beautiful outside. I told him quite succinctly to stop his work and go out and enjoy the rest of the day and not bother me until Monday.

When I returned to finish garnishing my burger, the group of acquaintances I was sharing this beautiful barbecue with looked at me with their mouths agape saying, “I wish you were my boss”.

“Telling an employee to enjoy life is a boss’ job,” I replied. And I truly mean that, for the following reasons:

1) I handpicked my employees and I trust each and every one of them. I also know that none of them slack off when it’s not time. I let him set the parameters of when the job would be completed, I understand the nature of his job and what it would take to actually complete the project, and I knew full well that his finishing it in a couple of days meant I wouldn’t have to break any promises to our client. So we’d stay in good standing regardless. My experience has shown that giving my employees a great deal of freedom has yielded better results.

2) There is no evidence that working longer hours makes a person more productive. In fact, there have been several studies that outline the benefit to a company’s bottom line by giving employees greater flexibility in their working hours and that overworking employees can have very negative effects. Some studies even go so far as to suggest that overworking an employee can lead to them suffering from a variety of health issues leading to them having to miss work. If that weren’t enough, at least one study, Impacts of Late Working Hours on Employee’s Performance: A Case Study on Engineers in Telecom Company of Pakistan, by Quereshi et al., even suggests that overworking an employee could lead to unethical behavior including, “sexual harassment and breaching the code of conduct of the organization”.

3) I know that if I behave erratically, or make irrational demands from my employees, that it makes them question if we are a good fit. Pushed too far and I could be down one employee and that can be worse than the work not being done on time. Although telling him, “Sorry bud, the work has got to get done” might not have been an irrational demand on my part in this particular instance, I’m still stating quite clearly to him that work is more important than his relationship with his friends.

What is more important?

So this does raise the question: what actually is more important, work or friends? Many people spend more of their time, in a given week, at work than anywhere else, so we are forced to make several considerations based on this fact. The first is that, if they are going to be asked to spend so much time there, is it too small a thing to ask that they enjoy themselves? Second, should work and life really be kept so separate and need to be kept in balance, or is work very much a part of life that should fit harmoniously with all the other aspects of existence that we engage in? And finally, in business, it’s important to remember that relationships are everything, and that the social capital you build in fostering them, whether with clients or with staff, will last with you for the rest of your life.

Business Essentials: Project Management Software

Tech companies have been hard at work over the last decade finding ways to streamline their workflow. As a result, numerous companies have entered into the domain of developing software specifically designed to manage their various projects and they have addressed almost every growing concern under the sun. Project management software in this day and age is powerful, easy to use, ubiquitous, and cheap. Businesses are quite literally spoiled for choice in this area and, if your company is not currently using any project management software to coordinate your projects, it’s time to take a serious look at how one of any of the number of programs that are out there might add value to your company.

What’s out there?

Sometimes choice can be a difficult thing to handle. With so much choice out there, how do we know which program is going to be the right one for our business? How do we know that it will be able to do the things we need it to do? Basecamp, Asana, Microsoft Project, Smartsheet, what’s the difference?

Generally speaking, there is no difference – they are all designed to help you manage your projects in one way or another and all will perform many of the same functions. Where they differ is in how you interface with each program. One could choose blindly and accept that there will be a learning curve to understanding how the program operates. No matter which program you choose, eventually it will become an extension of how your business operates.

However, there are a couple of points worth investigating first:

Web-based or on-prem? – One thing you need to decide is whether or not you want to operate your project management software literally from within the building (or “on premises), or if you want your project management to be handled on the web. On-premises software has the advantage of typically being more robust than web-based software. However, companies more and more are trending toward web-based programs because they have been stripped down in order to be more easy to use and because it does not involve installing the program on every computer in the office. Instead, project members simply visit the relevant website.

Proprietary, GPL, or Open source? What these three terms refer to is the type of license a program might use and defines what you are allowed to do with the software once you have it. Whether a program is free to use or not, project management software will most commonly use a proprietary license meaning that you agree to use the program the way it is simply to help you with your business. Other licenses may give you the freedom to tamper with the code and tailor the software to your company’s needs, but this does take some savvy and you’ll need a competent computer engineer.

How they work

As mentioned earlier, every project management software is initially designed to do more or less the same thing and most will cover all the essential components of what it takes to coordinate a project.

Communication – If a program does not allow for a team to communicate with each other, then it’s not of much use. Virtually all programs keep each project separate from one another so, when running more than one project at the same time, it’s easy to track what’s been discussed about which projects. It’s even possible to cherry pick who needs to know which pieces of information so that the right people get the necessary information while everybody else doesn’t have to feel bogged down by excessive communication that is not relevant to them.

Scheduling – Project management software also allows your company to set milestones and completion dates for aspects of a project. Anyone involved can then go to the calendar and see what tasks need to be completed, allowing them to better manage their own work.

File Sharing – Any project management software acts as the central hub where all the information regarding a specific project is located. It is open for all the people involved in the project to get their hands on. Relevant documents can easily be uploaded and shared for all to give their insight or make changes.

Although these represent the core of what most project management software will address, each program provides its own nuance, bells and whistles, and special features. How you decide to use these features is anybody’s guess but you’ll eventually find that there 101 ways to solve any number of problems right at your finger tips.

Contemporary Fail-safe Solutions – An Ode to the Cloud

It’s late and you’ve just pulled a marathon 18-hour session putting together the finishing touches of a major project. It’s the eleventh hour and the deadline is looming, so it’s time to get those deliverables sent. You’ve poured your blood, sweat and tears into making this project the best that it can be, because you know that you operate in a results-based profession where the skills you possess on paper don’t amount to anything unless you can deliver the goods. Deep down you know that if this goes well you may look back and see this one project as the breakthrough that broke the doors on your career wide open. You’ve dotted every “i” and crossed every “t”. Sharing

Keeping important files and work documents in multiple locations is essential to being able to fail-safe, so file sharing is a great way to spread the safety around and there are several ways to do it. When files are contained on a hard drive they are rooted to that location, but with file sharing it’s easy to pass along important documents that others can get to if they need to.

Free File Transfer Sites: Depending on the size of the files you are dealing with, there are number of great file transfer options through the cloud. With free file transfer sites, unlike cloud storage where you essentially pay for space, there are limitations like a cap on file sizes, or how long files that are uploaded are available to download. There are number of options available to users for easy transfer of files including: WeTransfer, HighTail, and TransferBigFiles.

Dropbox: Unlike with file transfer sites, Dropbox is actually a program on your computer that sets up a folder designed to be shared by your computer and any other computer that you invite to share with it. It’s just like any other folder on your computer and files stay exactly where they are, but as soon as anything is placed in your Dropbox, it’s essentially saved on any of the computers that also share that folder, so you can be sure that even if you lose it, someone else will still have it.

Modern technology has provided so many tools to make sure we can stay on top of our projects and mitigate potential disasters. Hundreds of people have learned the hard way that can go wrong and they have designed so many solutions that there quite literally is an app for that. It’s not enough to just save your work anymore. Nothing should be left to chance, so make sure you’re using all the resources you have available, including the cloud, to your advantage and rest easy knowing that your work will be preserved the way it should be and will be ready for delivery.

Five Tips for Managing Client Expectations

Nothing is more essential to a successful enterprise than repeat business. Every satisfied customer allows your brand to be passed around by word of mouth potentially creating a snowball effect that could be the difference between the long-term sustainability of your enterprise, or it ending up being a fleeting experiment. Referrals are your best friends and a one dissatisfied could spell the end of your business and is to be avoided at all costs.


Whether you’re a web developer, digital media consultant, graphic designer, or content creator, the clients that come looking for your services will bring with them some level of expectation, and it’s your job to manage those expectations. Below are 5 handy tips and tricks designed to help you navigate the mind of your client, understand their demands, and keep them and their friends knocking on your door.


1) Get to know what they know – No matter what a client might come to you for, if you know what they know about what you do, it changes the level of expectation. Some clients might have an in depth understanding about what it takes for you to do your job and some might be completely clueless and the key to maintaining customer satisfaction in either case is the level of sensitivity with which you handle each. It should be clear by the terminology they use when they speak to you, or how they respond to any questions you ask, so just be mindful.


2) Know what you’re capable of – Nothing upsets the balance of someone’s expectations more than being given false information. If you design websites and a client has come to you saying they need their site to go live in 24 hours, sometimes it’s better to risk losing the client rather than promise them that it can be done and risk not completing the work. No matter how much extra effort you might put into getting it done, the chances are your client won’t be sympathetic to your plight. They are under pressure too and all they’re likely to remember was that the work wasn’t completed when you said it would be.


3) Don’t be afraid to involve your clients – Some clients might not have the faintest idea of what’s involved behind the scenes of a good marketing video, but everyone who’s in charge of a project appreciates having their ego stroked. The more decisions they make, or the more they see of themselves, there is an increased likelihood they’ll take ownership of the project and value the work you did alongside them. However, remember that there’s a fine line here – some clients are just too busy to be bothered, and some can become so involved that it compromises the quality of the project.


4) Be available – The work has to get done but it’s not advisable to turn the ringer off on your phone – ever! The service you provide is meant to be a direct response to what a client has in their mind and the work has to get done in the spaces between them communicating to you exactly what that is. Every fragment might prove useful in you being able to deliver on their wildest imagination and should not be ignored. A client will remember every time that they tried to reach you and were unable to because it was time that they set aside, time they thought was important, and time they eventually wasted. Time is money, and they can give theirs to someone who will offer them the time they need.



5) Let someone else disappoint them – It’s time for a reality check – you’re not the only one who does what you do. Out there in the world is someone who others can go to for the exact service that you provide, and it’s likely you’re not the only one they’ve called. It’s also not uncommon to find a prospective client that simply has completely unrealistic expectations, and there comes a point where it’s imperative to stand your ground on an issue (work load, deadlines, rate of pay, etc.) because the integrity of your business will be at stake. A prospective client might simply hire the cheapest option around and don’t be afraid to let them. The chances are likely that they won’t be happy with the work that got done and will go somewhere else the next time. Be sure that if they do finally come around to you, and not simply the cheapest option available, that you do deliver the value you promise.

How to Manage Complex Projects Easily

Not every business project for your company is going to be a "walk in the park."

There is going to come a time when you need to tackle a complex project. Whether that involves shipping and selling in multiple countries or starting up an assembly line to build a product in volume, you'll be dealing with many issues involving several departments.

However, don’t despair as there is a way to manage complex projects easily. Here's how:

Step 1: Set Your Goals

What is the goal of this complex project? The answer to that question could be something as simple as "build a new website" or "increase traffic to existing website." Within that goal should be some tangible items like due dates, sale expectations and/or specific benchmark numbers. Once you've established clear objectives then you know what you're heading towards. The challenge is not to deviate from that path no matter how "big" things may become.

Step 2: Keep the Lines of Communication Open

Once you've shared your goals with the team you should open the floor for discussion. Here is where you'll learn if and when your goals are actually obtainable. There is nothing wrong with pushing your staff to do their best but that doesn't mean becoming unrealistic. Although it's a great goal to earn a million dollars by Friday, it might not be practical. This is the time to brainstorm out idea to help move things along. If your staff knows they can share concerns and ideas then your project will only be strengthened.

Step 3: Set a Budget

What is this project going to cost? That's an extremely important factor to consider. You should have a budget set for the project that everyone can fall in line with. Don't hesitate to pad that budget with a contingency fund "just in case."

Step 4: Set an Action Plan

You already have an overall business plan for your company. Now drill down and apply those same principles to this new project. The project plan should be worked out enough that you could hand it off to anyone in your company and they would be able to follow it without asking questions.

Step 5: Encourage Out of the Box Thinking

Sometimes a project becomes complex because we don't know any other way to do things. When you get stuck on implementing a specific item it might be time to step out of the proverbial box for some original thinking. This type of creative problem solving has been a huge asset to many businesses.

Step 6: Set Up Tests

No matter what you're working on, you can't go from "start" to "finish" without testing the end result. For instance, if you're building a new website with an ecommerce component then you should definitely build in a testing phase to work out all the kinks in the system. Only then can you call a project truly ready to launch.

Helpful Hints to Avoid Procrastination

If you're reading this article then it's probably because of two reasons: you want to find ways to avoid procrastination or you’re actually procrastinating at this moment. Procrastination is that habit many people often fall into that prevents them from getting something done, whether it's a business proposal, a trip to the gym or spring cleaning.

If left unchecked, a bad procrastination habit can actually be a deterrent to advancement in a career or getting good grades in school. In the realm of independent consultants, procrastination can lead to a loss of business. No employer wants to wait for a project that has passed the deadline. There are some very helpful hints when it comes to avoiding procrastination. How quickly can you make these a part of your daily routine?

·         Make a Commitment: This is a lot like accepting a deadline, but it's also more about your own personal responsibility. When you commit to finishing a project by a certain date then you are pretty much putting your reputation on the line. Even if it's a small matter of returning an e-mail or phone call within 24 hours, it's still a commitment that you can make to yourself. Staying true to that commitment can go a long way towards improving your business relationships which equates to success.


·         Prioritize: If you have a list of several small assignments and one big task, don't let the little jobs get in the way. You need to prioritize your tasks by level of importance and deadline. This can be done at the beginning of every morning as you set out plans for your work day.


·         Utilize the Morning: Speaking of the morning, that is a perfect time to accomplish tasks that are due by the end of the business day. It's simply a matter of figuring out how long a particular task will take and then setting aside those hours in the morning to do the actual work. In many cases this goal could be reached by lunchtime!


·         Get Prepared: A common theme for procrastinators is that they're never ready. This goes back to that issue of staying organized. As a freelance consultant, if you're working on a project that involves a certain amount of research then you should conduct that research all at once and assemble it in a single file or group. That way you'll have easy access to that information when it's time for you to disseminate it. There's no excuse for poor prep work.
 

·         Remove the Distractions: Ironically, the very thing you are reading this article on is probably the biggest contributor to procrastination. That would be the Internet. Today, we use the Internet to communicate with friends, read news and conduct business. While it's easy to get lost in the world of YouTube or Facebook, those activities should be regulated for off work hours. Perhaps you should look at spending time on those personal sites as a reward for a job well done. Don't let the Internet drag you down!
